Business Software

If the term business software sounds vague, it's because these applications can be so simple as to only do one thing for your business, or so encompassing that they can handle everything from employee timesheets to billing your customers!

Business software, in its most basic sense, is thus any application that helps you measure or increase your business' performance.

Choosing the right business software package can be a daunting task. There are just about as many products out there as there are companies! Before even thinking about what software is best for your firm, carefully review your own requirements.

For your guidance, note that business software is generally grouped into three types: SMALL BUSINESS (basic accounting, general word processing or spreadsheet applications, etc.), MEDIUM BUSINESS (small business features plus accounting, human resources, etc.) and LARGE OR ENTERPRISE LEVEL (medium business features plus numerous extended applications or modules such as enterprise resource planning and others). So the first step to selecting the business software you need is identifying your type of business and what application you need to see those profits rolling in.

Choosing a package that does not meet your needs means certain financial losses. Sometimes it is necessary to document business process requirements first to accurately detail needs and required functions. What industry do you operate in? What should be the emphasis of the business software? Will an off-the-shelf solution suffice, or is a customized solution required?

Next, you should ask how the system will integrate with your existing hardware and work setup. Many complex business applications are made using specific operating systems, so make sure that the system can operate in your own environment. Business systems make use of various computer peripherals such as scanners, printers, faxes, etc. Make sure then that the business software you are looking at can communicate with these devices. Another item to consider is the specification of your hardware. Does the program require high-end hardware? Will it operate with your existing computer memory and processing capabilities?

Another important feature on our list is usability. Is the business software easy to operate? How extensive is the documentation? Is extensive training required? Is training provided by the vendor? The purpose of business systems is to expedite work processes and improve transaction efficiency. If the system is overly complex and requires months of training, this may impact on your performance negatively. If training is provided, how much will it cost? Will the software you choose justify the expense?

Equally important is customer support after deployment of the business software. Many complex business applications require habitual maintenance to keep them running smoothly. The truth is that most systems inadvertently run into trouble at some point, so do make sure that the product will have solid support from the vendor.

Collect and collect, then select. After itemizing all your needs and concerns, ask for quotes! This is especially true if you run a medium to large-scale operation. Because business software can be 'tailor-made', prices vary greatly. As such, the best would be to inform vendors of your needs and ask THEM to propose solutions and the related costs of those solutions. Ask for an actual demonstration to have a clearer understanding of the product. Some companies provide an on-site demonstration of their program or a trial period by which to assess their software - so make sure to take advantage of these options.
